Your mission

Administration and Contract management specialist rovides comprehensive administrative and organizational support to ensure smooth and efficient business operations and contract management. The role requires strong coordination skills, attention to detail, and the ability to manage multiple tasks while supporting internal stakeholders across departments and countries.

Your main responsibilities

Legal & Contract Management

  • Supporting contract management processes, including coordination, documentation, and tracking
  • Maintaining, updating, and managing contract templates and standard legal documents
  • Assisting with compliance-related tasks in line with internal policies and legal requirements
  • Managing deadlines, appointments, and legal calendars
Administration & Operations
  • Handling correspondence with internal and external stakeholders
  • Supporting legal projects and taking ownership of defined workstreams
  • Performing legal-related administrative and clerical tasks
  • Acting as a central interface between the Legal Department and other functions (e.g. HR, Finance, Operations); coordinate external communications with stakeholders, vendors, and partners
  • Ensuring efficient management and documentation of all legal workflows and processes
Additional Responsibilities
  • Providing administrative and organizational support to the Director Finance, as required
  • Assisting with cross-departmental projects and coordination tasks

Your Profile

  • Completed vocational training or degree in business administration or a related field
  • Proven experience in an administrative, office support, or coordination role
  • Strong organizational and time-management skills with high attention to detail
  • Excellent written and verbal communication skills
  • Proficient in MS Office (Word, Excel, PowerPoint, Outlook); experience with ERP/CRM systems is a plus
  • Ability to work independently and manage confidential information with discretion
  • Proactive, reliable, and service-oriented mindset
  • Minimum 3–5 years of experience
  • Fluent in German and English; additional languages are an advantage
